01 Setting Initial Options

Before you can begin accepting payments through Your Local Invoice, you need to select the Paypal payment gateway and set your Paypal email address under Invoice » Options. While you’re there, you can also set your company name and the address that is displayed on every invoice and quote.

02 Creating a Client

Before you create an invoice or quote, you will likely want to create a client to assign it to. To do so, click Invoices » Clients. From here, you can set the client’s company name, address, email address, and even a predefined password if you decide to password protect the post. By setting the client’s email address, you can email the invoice/quote directly to them from the same screen where you created it.

03 Creating Invoices and Quotes

Creating new invoices and quotes is fairly straightforward. Under Invoices, click “Add New”. The title of this “post” will be displayed in the client’s Paypal receipt, so keep it relevant. Below the title box is the “content” box which is displayed as the notes section on the invoice/quote page.

You can set the date which you sent the invoice, or it will be automatically set for you if you send the email directly from this post screen. To email your client with a link to the invoice/quote, make sure that you have selected a client and published the invoice. Then scroll to the bottom of the “post edit” screen and click “Send Email”

The “Paid” and “Quote Approved” fields will be automatically set when the client pays the invoice or approves the quote. You can clear these if there was a mistake or if you want to resend it and allow them to pay it again. If a client has approved a quote, you’ve finished the project, and want to turn the quote into an invoice that can be paid, simply change the “Type” field to “Invoice”.

The client information displayed at the top of the invoice/quote is set when you select the Client in the right sidebar of the screen. You can select multiple clients, however this will do you no good since only one client’s information can be used.

04 Customizing the Appearance

To add your company’s logo, change the theme skin, or customize the look and feel of various theme elements, visit Appearance » Theme Options.

05 Password Protection

To password protect an invoice/quote, click the “Edit” link next to “Visibility”. Select “Password Protected”, enter the password, and select “OK”. If you defined a “Password” when you created your client, this password will be automatically filled in when you select “Password Protected” (This is assuming that you don’t change it).
